What is Atlas EMS
Atlas EMS (Enterprise Management System) is the central operating environment for your organization within the ProMediaFlow platform. While your personal workspace (Atlas Solo) is designed for private, individual tasks, Atlas EMS models your entire company. It serves as a collaborative hub that brings together your departments, operational roles, repeating workflows, projects, human staff, AI agents, and shared knowledge.
Within Atlas EMS, you can map your organizational structure, assign roles, direct collaborative teams, track detailed financial metrics, run playbooks, and manage tasks with human-in-the-loop approvals.
Getting started
To begin using Atlas EMS:
- Log in to the ProMediaFlow platform.
- Open the Atlas EMS application.
- Select your organization from your main dashboard.
Initial Configuration
- Set Up Your Organization Profile: Navigate to your settings to configure your Business Core (the detailed description of your company's core mission and activities) and your Brand Code (your creative identity, including voice, look, style guidelines, and positioning).
- Configure Access & Permissions: Manage workspace access via the Section Permissions Matrix, which controls workspace actions for four key roles: Owner, Admin, Manager, and Member. Use the View Chooser on your main dashboard to toggle between different operational perspectives, or visit your Personal Cabinet to view your own assigned work.
- Add Pre-Made Capabilities: Browse the Process Bundles registry to find starter packs. You can use the dry-run import preview tool to safely inspect what elements (processes, skills, and positions) a bundle will create, link, or skip before committing any changes.
Note: Running AI generations, utilizing AI agents, and using advanced workspace features consumes platform credits.

1. Visual Workflow Design & Process Modeling
Design, test, and refine your organization's custom procedures:
- Visual Workflow Designer: Map out custom procedures visually using an interactive flow canvas, schema views, and node-based diagrams, supported by a Process Health Rail and Unified Process Map.
- Continuous Process Improvement: Team members and AI agents can propose structural amendments (such as adding, removing, reordering, or renaming steps, or editing descriptions). View pending, applied, or rejected proposals and vote on them to trigger automatic updates. Managers and admins can manually force-apply changes to immediately snapshot a new version.
- Process Version History: View an append-only snapshot history of your templates (starting at version 1 and incrementing on every accepted proposal) to save your organizational evolution.
2. Productivity, Task Tracking & Deliverable Inspection
Execute and monitor your company's daily operations through a dedicated visual environment:
- Task Dashboards & Timelines: Monitor active tasks using real-time "Now Running" dashboards, visual delegation wizards, and a Task Detail Drawer. View historical context for tasks via the interactive Task Chronology Timeline.
- Organizational Mail: Collaborate directly on tasks using a dedicated, organization-scoped inbox built specifically for task-based correspondence.
- Deliverable Asset Inspection: Inspect submitted files and assets through dedicated deliverable detail pages featuring a built-in Document Viewer, task file tiles, and an interactive Attachment Lightbox.
- Curator Approvals & Evaluation: Use the Curator Decision interface to review finished tasks. Track performance quality on specific deliverables using integrated User Evaluation Cards.
3. Process Templates & Instant Task Generation
Standardize your operations with customizable playbooks:
- Template Discovery & Detail Views: Discover over 30 step-by-step templates for operations, marketing, and hiring. Filter templates by category, roles, or tags to view step counts, required skills, default key performance indicators (KPIs), and service level agreements (SLAs).
- AI Template Recommendations: Describe a vague task in plain language, and the built-in AI assistant will recommend the top three matching templates.
- Process Instantiation: Instantly launch live project tasks based on a chosen template, automatically setting up assigned leads, instructions, acceptance criteria, and due dates.
4. Project Scaffolds & Process Bundles
Set up large-scale projects and install pre-packaged workflows:
- Project Scaffolds: Set up framework blueprints for specific project types (like video production, app launches, or marketing campaigns). Search available scaffolds, view their base roles and tasks, and let the system calculate the best setup for your project's current conditions by applying scaling rules automatically to generate live tasks, staffing slots, and process runs.
- Process Bundles: Browse and install multi-template starter packs categorized by industry, product, difficulty, or tags. Perform a dry-run import preview to check for conflicts before copying processes, linking positions, and wiring skill requirements to your organization.
5. Workforce, Position & Agent Management
Manage your blended workforce of humans and AI:
- Fleet Dashboard: View and manage your mix of human staff and AI agents. Define stable, profession-bound positions so that if individual agents are rotated or updated, your repeating processes continue uninterrupted.
- Position Profile Drawer: Deep-dive into role-specific data, track capability growth with a Skill Improvements tracker, and assign required skills from your organization's skills catalog.
- Agent Skills Manager & Profile Cards: Tailor fine-grained AI capabilities, track skill improvements, and oversee current agent assignments with detailed status cards. Track performance quality on specific deliverables using integrated User Evaluation Cards.
- The Academy: A learning section designed for managing the skills, performance, and continuous growth of your organizational personas.
6. Daily Planning & Professional Growth
Optimize the routines and development of your team:
- Worker Daily Planner: Generate realistic, evidence-based daily schedules. These plans automatically balance deep focus work, quick task blocks, meals, and travel routes between located events. You can view persisted plans or preview them on the fly.
- Worker Schedule Preferences: Set timezone rules, preferred working windows, chronotypes, and daily focus-time budgets.
- Mindful Break Suggestions: Receive healthy break recommendations based on your current state of work. If you are mentally blocked, the system suggests an incubation walk; if you are depleted, it recommends a nature-based restorative break (never phone or social media).
- Worker Growth Offers: Access and update a worker's individual Growth Potential document, which highlights career directions, income ladders (including base salary and lever curves), Full-Time vs. Project scenarios, career ladders, and skills breadth.
7. Organizational Intelligence & Shared Knowledge
Capture company intelligence and monitor performance:
- The Org Brain: Explore a curated, shared knowledge graph containing your organization's core decisions, principles, risks, and strategies. Use the Doc Graph View for visual mapping or search the Documentation Brain workspace. An automated system scans newly added ideas and automatically links related concepts based on similarity.
- Metrics & Company Result Feed: Visualize company health trends, monitor goal achievements, and trace organization effectiveness and goal-specific performance metrics over a customizable company feed. Leverage the Organization Neural Map for visual relationship tracking.
8. Organization Finance Management
- Financial Tracking: Monitor and manage organization-level financial data. Use specialized financial dashboards and interactive modals designed to streamline day-to-day financial operations.
9. Organization Profile & Administration
- Administration Hub: Manage organization-specific information, hierarchy, and core configurations.
- Organization Warehouse: Store and manage organization assets in a centralized storage system.
- Public Company View: Configure and display external-facing profiles for your organization.
- Architecture Management: Use structural modeling tools to map out and manage your company's hierarchy.
- Organization AI Settings: Fine-tune workspace-wide agent behavior and settings.
- Connectors: Manage integrations and external tools linked to your workspace.
How to use it
Workflow 1: Setting up your Organization Chart
- Open your main dashboard and use the View Chooser to switch to the administrative perspective.
- Go to the Architecture Management page.
- Define stable operational Positions for your business (e.g., Lead Content Creator, Marketing Manager).
- Assign team members (either human staff or AI agents) to these positions.
- Open the Position Profile Drawer for any role to attach specific required skills from your organization's skills catalog.
Workflow 2: Launching and Managing a Project Scaffold
- Navigate to the Project Scaffolds section.
- Search and select a blueprint matching your project type (such as a marketing campaign or product launch).
- Let the system calculate the scale of your project. The scaling rules will automatically compute and recommend the best staffing slots, tasks, and business processes based on your project requirements.
- Click apply to instantiate the scaffold, which will automatically create live business process runs, generate initial tasks, and book the required staffing slots.
Workflow 3: Standardising and Executing a Task with Approvals
- Find a Template: Browse the Process Templates section. If you only have a vague task in mind, type a brief description in the AI recommendations box to find the best three matching templates.
- Instantiate the Task: Select a template and click instantiate. The system will automatically spawn project tasks with assigned leads, sub-tasks, and clear acceptance criteria (your definition of done).
- Submit and Review Work: Once the assigned worker or agent completes a step, they submit a work round. The parent task status will flip to "In Review."
- Rate the Round: The lead opens the task in the Curator Decision interface, reviews the submitted files using the Document Viewer or Attachment Lightbox, and rates the round from 1 to 5, adding a required written reason.
- Approved moves the task to "Done" and rolls up costs.
- Send Back returns the task to "In Progress" for another attempt.
- Final Decision: A designated Curator (such as a founder or advisor) makes the final, single-shot decision to fully approve, request a rework, or cancel the task.
Workflow 4: Planning a Worker's Day and Managing Well-being
- Open the Worker Daily Planner tool.
- Navigate to Schedule Preferences to configure timezone rules, working hours, chronotypes, and daily focus budgets.
- Generate a daily plan to create an evidence-based timeline balancing focus blocks, meals, and travel times.
- If you are stuck or feeling depleted, check the Mindful Break Suggestions for an offline suggestion (e.g., an incubation walk if blocked, or a nature-based restorative break if depleted).
Tips & notes
- Action Ownership & Roles: Ensure your team members are assigned the correct roles (Owner, Admin, Manager, Member) in the Section Permissions Matrix to avoid access issues, as all data is securely ring-fenced within your specific organization.
- No Silent Rejections: When rating a task round or rendering a Curator Decision, you must provide a written reason. The system will reject ratings or decisions submitted without a recorded reason.
- Task Acceptance Criteria: Always ensure your tasks contain clear acceptance criteria. Tasks lacking explicit criteria cannot be easily automated or picked up by the execution system.
- Dry-Run Import Previews: When importing new Process Bundles, always run a preview first. This allows you to safely check for naming, role, or skill conflicts before committing any permanent changes to your workspace.
